In this guide, we will explain how to use the “See All Shared Forms” helper page. This page allows admin users to quickly look up every form template a specific user in their organisation currently has access to, and navigate directly to the sharing settings to update or remove that access.

1. OPEN THE HELPER PAGE:
- Navigate to the “See All Shared Forms” helper page in your browser: https://app.formyoula.com/online_v5/69e2ad90f4e3d1001551a11c
- Note: You must be logged in as an admin user in the same browser to access this page.

2. SELECT A USER:
- Click the “Select User” dropdown. A list of all users in your organisation will appear. Click on the user whose shared forms you want to review.
- Once a user is selected, the “Forms The Selected User Can Access” table will automatically populate with all form templates currently shared with that user.

3. REVIEW THE FORMS TABLE:
- The table displays the following information for each shared form:
- Form Name — The name of the form template the user has been given access to.

- Template Id — The unique internal identifier for that form template.

- Access — The permission level the user holds for this form. Values may include create, read, and update in combination (e.g. create,read,update means the user can submit entries, view existing entries, and edit the form template).

- Open Sharing — A blue button that takes you directly to that form's sharing settings page so you can manage the user's access.

Note: You can use the Search box at the top right of the table to filter results by keyword.

4. Update or Remove Form Access:
- If you need to change or revoke a user's access to a specific form, click the Open Sharing button on that form's row. This will take you to the sharing page for that form, where you can change the user's access level using the Form Access dropdown, which offers the following options:
- — No Access to Form — — Removes all access for the user.
- Create Entries — The user can only submit the entries.
- Create & View Entries — The user can submit and view form entries, but cannot edit the form itself.
- Create & View Entries & Edit Form — Full access. The user can submit entries, view entries, and modify the form template.
