Salesforce Formyoula Integration User

This guide explains which Salesforce User is configured for Formyoula Integration. When a form is submitted in Formyoula, the system determines which Salesforce user will be used to create the record in Salesforce.

Formyoula checks for users in this order and uses the first match it finds:

1. Current User (First Priority):

If the current user is a Salesforce user, then the record will be sent to Salesforce using that particular user.

For Example,

  • The user who is currently logged into Formyoula
  • If they have a Salesforce account, their Salesforce user will be the record creator

2. Assigned Salesforce User (Second Priority):

If the user has another Salesforce user assigned to them on the users page, then that user will be the creator in Salesforce.

For Example,

  • You can manually assign a Salesforce user to any user
  • This assignment is configured in the Formyoula Users page
  • When that Formyoula user submits a form, it uses their assigned Salesforce user

3. Form Owner (Third Priority):

Otherwise, the default option is the form owner, so the form owner would be the record creator in Salesforce if the current user is not a Salesforce user.

For Example,

  • Every form in Formyoula has an owner
  • If the current user isn't a Salesforce user and has no assigned user, Formyoula uses the form owner

4. Organization-Wide Salesforce User (Fourth Priority - Backup):

And then the final option is the organization-wise Salesforce user. That will be used to create the records if the previous steps fail, so that's more as a backup.

For Example,

  • This is the backup user
  • It's configured at the organization level in Formyoula
  • Only used when all other options don't apply
  • Ensures records can always be created

How to Find the Organization-Wide User:

  1. Log in to Formyoula as an admin
  2. Go to: https://app.formyoula.com/setup/account
  3. Scroll down to "Lightning API Key"
  4. Look for the "Salesforce API User" field below it
  5. This email address is your organization-wide backup user

How to Assign a Salesforce User to a User:

  1. Log in to Formyoula as an admin
  2. Go to the Users page
  3. Find the Formyoula user you want to configure
  4. Assign them a Salesforce user
  5. Save the changes
